Privacy Policy

What we collect, why we collect it, and what you can do about it. In plain English.

This policy covers the Central Otago Tracks & Wheels event and this website, tracksandwheels.co.nz. The event is run by the Central Otago Tracks & Wheels organising committee. If you have any question about your information, email event@tracksandwheels.co.nz and a real person will get back to you.

What we collect

  • Your email address, when you subscribe for updates or enter the giveaway.
  • Your name and contact details, when you register a machine, apply for a trade stall, volunteer, or send us photos and videos through the upload page.
  • Details about your machine or stall, when you supply them on a form.
  • Website usage information, collected through cookies and similar tools (which pages you visit, roughly where from, what device). This is mostly aggregate and used to understand how people find and use the site.

What we use it for

  • Sending you the event updates you subscribed for. Every email has an unsubscribe link and unsubscribing works immediately.
  • Running the giveaway: picking a winner and letting them know.
  • Organising the event: confirming registrations, allocating sites, rostering volunteers, crediting photos.
  • Measuring how the website and our advertising perform, so we spend the event's marketing budget sensibly.

We do not sell your information to anyone.

The tools we use

Like most websites, we rely on a few service providers. They store or process information on our behalf, some of them outside New Zealand:

  • Klaviyo holds our email list and sends our emails.
  • Google Analytics and Google Ads measure site traffic and advertising.
  • Seeka helps us measure which advertising leads to signups and ticket sales.
  • Netlify hosts the website and receives some form submissions.
  • Microsoft 365 stores files sent through our media upload page.
  • Humanitix will handle ticket sales when they open. Ticket purchases happen on their platform under their privacy policy.

Cookies

The analytics and advertising tools above use cookies to recognise repeat visits and measure campaigns. You can block or clear cookies in your browser settings; the site works fine without them.

Your rights

Under the Privacy Act 2020 you can ask us for a copy of the personal information we hold about you, and ask us to correct or delete it. Email event@tracksandwheels.co.nz and we'll sort it. If you're not happy with how we handle a request, you can complain to the Office of the Privacy Commissioner.

How long we keep things

We keep subscriber and registration information for the event cycle it relates to. When you unsubscribe you stop receiving marketing straight away. If you ask us to delete your details, we will, unless we need a record for legal or safety reasons.

Changes

If this policy changes, the new version goes up on this page with a new date.
